STEAM Activity Booking System and Intranet

A centralised information system developed for the Lithuanian STEAM Centre Network. The platform brings laboratory booking, educational activity planning, student registration, teacher professional development and internal STEAM centre administration tools together in one environment. It supports efficient centre operations, optimises laboratory utilisation and enables smooth collaboration between schools and STEAM centres.

The challenge

The task

The development of the national STEAM centre network required a unified information system for centrally planning laboratory activities, managing bookings and administering educational processes. The system needed to replace fragmented manual booking procedures and give teachers a convenient way to register students for STEAM activities.

The solution had to support different user groups, including general education teachers, STEAM centre administrators, laboratory staff and other specialists. It needed to provide flexible activity planning, laboratory utilisation management, user authentication and centralised administration across multiple centres.

Beyond booking, the platform was intended to become a day-to-day operational tool for STEAM centres, supporting professional development events, surveys, user administration and effective internal communication.

STEAM activity management

Creation and management of formal and non-formal education activities and events, with assignment to a specific STEAM centre, laboratory, activity leader and participant group.

Activity schedule and utilisation calendar

Visibility of STEAM centre activities, laboratory utilisation, available and booked time slots, registration periods and non-working days.

Methodological content publishing

Publication and download of methodological and educational materials related to STEAM activities through the public STEAM environment.

Analytics and planning

Laboratory utilisation monitoring, booking analysis, activity planning tools and reports supporting more effective centre operations and resource planning.

Activity registration

Registration of teachers, students and other users for selected STEAM activities, including registration data, status, approval and cancellation management.

Participant and attendance management

Management of registered participant lists, retrieval of student data from the Student Register and recording actual attendance.

Surveys and feedback

Creation and automated distribution of surveys to activity participants to collect feedback, assess activity quality and build statistical data.

Certificate generation

Automated generation of participation certificates from templates, including participant, activity, date and duration details.

User, administrator and access management

Administration of accounts, profiles, groups, roles and permissions for teachers, students, STEAM centre staff, activity leaders and administrators.

Notifications and process automation

Automated notifications about registrations, approvals or rejections, activity start times, status changes, certificate generation and other important events.

Integrations and data exchange

API-based data exchange with the Student Register, Microsoft Power BI, SharePoint, the STEAM.lt website and other designated external information resources.

Audit, security and system administration

User activity logs, data versioning and backups, system parameter and taxonomy management, access control and secure working mechanisms.

The result

STEAM Activity Management Platform

We developed a centralised information system that became the main platform for planning and administering the activities of Lithuania’s STEAM centres. It brings laboratory booking, educational activity management, student registration, teacher professional development and internal administration tools together in one environment. The system uses a modular architecture, allowing individual STEAM centres to plan activities, administer laboratories and manage users independently while following shared booking and operational principles. This architecture supports effective coordination across the national STEAM network and a consistent user experience across all centres. Particular attention was given to booking automation and laboratory utilisation. Integrated planning, registration and administration tools reduce manual work, improve the use of STEAM centre infrastructure and provide a foundation for continued growth as the network expands.

Project results

The project covered requirements analysis and detailed solution design for the STEAM information system, including its functional and technical architecture, user groups, roles, data structures and processes. We developed and deployed the internal STEAM centre management system and connected user environment linked to the external steamlt.lt website. The solution includes modules for activity planning, registration, laboratory utilisation, participant management, surveys, certificates, notifications, auditing and administration, together with integrations with the Student Register, Microsoft Power BI, SharePoint and other information resources. Separate development, testing and production environments, monitoring, backups, data security and activity traceability mechanisms were also established. The project documentation also defined stakeholder involvement in design, acceptance testing, pilot operation and live operation, involving teachers, the academic community and formal and non-formal education representatives, as well as students during the pilot phase.
